Summary and Highlights

X3CloudDocs 2024 R3 introduces several new features, including Single Sign-On (SSO) for EDM and ENA, the ability to upload generic documents from Sage X3, and the renaming of the modules.

  • Sage X3 Patching: From 2024R3, all X3 modules will be patched during updates, regardless of subscription. Access will be license-controlled, making it easier for customers to add modules later.
  • Single-Sign-On for EDM: With increasing security demands, Single-Sign-On is now available for EDM, complementing its presence in PIA/SOA Automation.
  • Upload Generic Documents: Users can now upload non-Sage X3 documents directly from Sage X3 using attachment functionality. Tags are auto-filled from the associated X3 record, removing the need for manual entry via the web client.
  • Store Inbound Documents in EDM: Inbound PIA/SOA documents can now be stored in EDM, offering flexibility and enabling better linkage, e.g., attaching PO, GRN, and invoice to the invoice record in Sage X3.
  • New File Watcher Control Panel: A technical enhancement simplifies EDM installation, configuration, and support, benefiting both customers and partners.
  • Export Data Templates (EDTs) for Contacts: EDTs now include contacts for EDM, improving the integration of email addresses and streamlining the process for consultants.

The new naming conventions will be reflected in the Sage X3 sub-menus within the X3CloudDocs’ module of Sage X3.

Sage X3 Patching

One of the key updates in this release is streamlining the installation process, allowing for easier access to modules based on licences acquired. With this update, users can upgrade their solution using the X3CloudDocs portal, making the user experience more seamless and flexible ensuring that customers have quick access to the solutions they need, and only pay for what they use.

Single Sign-On (SSO) For The Web Client (EDM & ENA)

Single Sign-On can now be configured using OpenID Connect. This feature is available for Okta, Entra ID, and Google OpenID Connect. Customers who wish to enable SSO for any X3CloudDocs modules should contact helpdesk@x3clouddocs.com for assistance.

Upload Generic Documents From Sage X3 (EDM)

With the 2024 R3 update, you can now upload non-Sage X3-generated documents to X3CloudDocs directly from Sage X3. These documents can be pre-tagged with relevant data from the associated records.

In the following example, you can view a Sales Order containing several pieces of information. This information is required for the uploaded documents attached to it:

The available document tags are then pre-populated from the Sales Order that the Proof of Delivery document relates to, and we can now upload our document:

Store Purchase Invoices And Customer PO's In EDM

Customers using Purchase Invoice Automation (PIA) and/or Sales Order Automation (SOA), along with Electronic Document Management (EDM), can now store invoices generated via X3CloudDocs in an EDM store. While invoices and orders remain accessible through PIA and SOA attachments, they can also be viewed directly within EDM. For example, clicking the Attachments button in X3 presents the following options:

Saving documents in EDM offers the advantage of grouping related documents together, such as a Sales Order Acknowledgment alongside the originating Purchase Order (PO) from the customer.

File Watcher Control Panel (EDM)

The X3CloudDocs File Watcher service synchronises documents generated in Sage X3 with X3CloudDocs EDM. A new interface has been developed to replace the need for a detailed technical understanding of monitoring, configuring and supporting, making this much easier to configure and maintain

The service status is clear and easy to understand, and it can be stopped and restarted without accessing Windows Services. Configuration is done through an easy-to-use form.

The logs are also simpler to view to support a more user-friendly interface:

Contact Export Data Table Definition (EDM)

A new Export Data Table (EDT) Definition has been added to improve the upload of contact information for use with EDM. Previously, any changes to the contact upload required a code modification. Now, the contact upload can be easily configured to extract email addresses from both standard and non-standard fields in Sage X3.
