Here’s what’s new in 2025 R1:
1. Automated PDF/A Conversion
X3CloudDocs now automatically converts your documents to PDF/A format—the ISO standard for long-term document archiving. This ensures your important documents meet regulatory and legal retention requirements without the risk of external content dependencies. Activate this feature simply via the X3CloudDocs File Watcher.
2. QR Code Extraction for Enhanced Invoice Processing
Simplify and enhance accuracy in your invoice management with our automatic QR code extraction. Specifically tailored initially for compliance with Portuguese e-invoicing standards, this feature captures invoice metadata directly from QR codes. Stay tuned as we expand this capability to additional regions and formats in future updates.
3. Flexible Line Level VAT Management
We’ve introduced greater flexibility in tax management by allowing users to override tax codes on existing Purchase Order (PO) and Receipt lines. Non-PO related invoices can also benefit from enhanced tax determination to cater to diverse tax requirements across different legal entities.
4. New Validation Flags for Enhanced Compliance
Ensure compliance effortlessly with two new validation options in X3CloudDocs. These tick-boxes confirm that a Purchase Order is correctly entered against invoices or credits for specified suppliers, enhancing accuracy and compliance.
5. Portuguese Credit and Debit Note Enhancements
To meet Portuguese e-invoicing regulations, X3CloudDocs now includes predefined reason codes when processing credit and debit notes, aligning your documentation processes with local standards seamlessly.
6. Maintenance Mode Email Management
When activating Maintenance mode, X3CloudDocs will now pause email notifications automatically. Notifications will resume as soon as the system is back online, ensuring uninterrupted workflow awareness.
7. Sales Order Automation: Manage Freight and Uplifts
Sales Order Automation (SOA) now supports processing invoicing elements, making it easier to handle freight charges or similar cost uplifts, providing greater transparency and efficiency in your sales processing.
8. Enhanced EDT Framework with SQL Views
Our EDT framework has been expanded to support SQL views defined within Sage X3, significantly enhancing the flexibility and ease of complex master data synchronisation.
9. Bug Fixes and Stability Improvements
We’ve also resolved various issues to enhance the overall stability and performance of X3CloudDocs.
